2. Information We Collect

From You (Our Clients):

  • Name, email address, phone number, and business information provided during account signup and onboarding
  • Payment information — processed and stored securely by Stripe (we do not store credit card numbers on our servers)
  • Business details required for service setup, including A2P messaging registration information
  • Account credentials and login information

From Your Customers (Callers to Your Business):

  • Phone numbers of incoming callers
  • Call recordings and transcripts generated by the virtual assistant
  • Caller name and any information voluntarily provided during the call
  • SMS/text message content and phone numbers when messaging features are used

Automatically Collected Information:

  • Device and browser information when visiting our website (IP address, browser type, operating system)
  • Usage data related to your interaction with our website and service dashboard

3. How We Use Information

We use collected information for the following purposes:

  • To provide, operate, and maintain the AI virtual assistant service
  • To process payments and manage your subscription
  • To set up and configure your account and phone systems
  • To deliver call summaries, lead information, and notifications to you
  • To communicate with you about your account, service updates, and support
  • To improve service quality and reliability
  • To detect, prevent, and address fraud or technical issues

4. Call Recording and AI-Generated Content

Calls handled by our virtual assistant are recorded for the purposes of service delivery, quality assurance, and providing accurate call summaries to our clients. Call recordings are stored securely and retained for the duration of your subscription plus 30 days after cancellation, after which they are permanently deleted.

As our client, you acknowledge that calls to your business line handled by our virtual assistant will be recorded, and you are responsible for any disclosure requirements applicable in your jurisdiction.

AI-Generated Information: Our virtual assistant uses artificial intelligence to generate spoken responses, call summaries, transcripts, and text messages. AI-generated content is produced automatically based on the information provided by you (the client) during onboarding and setup. While we strive for accuracy, AI-generated responses may contain errors, omissions, or inaccuracies. The virtual assistant provides general information only and does not provide professional advice, diagnosis, assessment, or guarantees of any kind. You are responsible for reviewing call transcripts and summaries available in your portal and notifying us of any inaccuracies so that we can correct them.

We continuously monitor and refine our virtual assistant’s performance, prompts, and training to maximize accuracy and provide a reliable experience for your business and your callers. However, no AI system is infallible. You remain responsible for reviewing call transcripts, summaries, and any AI-generated communications for accuracy, and for ensuring that information conveyed to your callers meets your business standards.

5. SMS and Text Messaging

When our service sends text messages on your behalf, the following applies:

  • We collect phone numbers and message content solely to provide the messaging service
  • Mobile phone numbers and opt-in consent data are not sold, shared, or disclosed to third parties for marketing or promotional purposes
  • We may share phone numbers and opt-in data only with service providers (such as our CRM platform) under strict confidentiality, solely to support the delivery of messages on your behalf
  • All text-messaging originator opt-in consent records are kept private and will never be transferred to third-party marketers
  • Recipients may opt out of messages at any time by replying STOP to any message
  • Recipients may text HELP for assistance or contact us at the email address listed below
  • Message and data rates may apply
  • Message frequency varies based on service activity

6. Third-Party Service Providers

We use third-party services to operate our business. Each processes data on our behalf and is subject to their own privacy policies:

  • Stripe — payment processing. Stripe collects and processes payment information on our behalf. We do not store your credit card details. For more information on how Stripe handles your data, see Stripe’s Privacy Policy
  • CRM and communications platform — call handling, messaging, workflow automation, and storage of call recordings and transcripts
  • AI/voice technology providers — to power the virtual assistant call answering service. These providers process call audio and generate AI responses in real time. Call recordings, transcripts, and AI-generated summaries are processed and stored through these providers in accordance with this Privacy Policy and applicable data processing agreements.
  • Other service providers — including but not limited to analytics, scheduling, document management, email delivery, domain registration, file storage, form building, business operations tools, and other software services as needed to deliver, maintain, and improve our services

We do not sell your data or your customers’ data to any third party.

Data is shared with third-party providers only as necessary to deliver the service.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the Text Message services.

7. Cookies and Website Tracking

Our website may use cookies and similar tracking technologies to improve your browsing experience, analyze website traffic, and understand how visitors interact with our site. You can control cookie preferences through your browser settings. Disabling cookies may affect certain features of the website but will not impact the core virtual assistant service.

8. Data Retention

We retain your account data and associated call/message data for the duration of your active subscription. Upon cancellation, data is retained for 30 days to allow for account reactivation or data export requests. After 30 days, data is permanently deleted from our systems. We will request deletion from third-party providers in accordance with their respective data retention policies.

9. Your Rights and Data Deletion

You have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate personal information
  • Request deletion of your personal information
  • Access and download your data through your client portal during your subscription or within 30 days of cancellation

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights regarding your personal information:
